Property Usage Policy
Grace Fellowship Christian Reformed Church
It is the responsibility of Grace Fellowship to be good stewards of the property God has blessed us with. This includes responsible use of both the church building and the church van. We acknowledge that God has blessed us with this property in order to be a blessing to those within both our membership and the community in which we serve.
Anyone wanting to use the church building for personal use must contact the church office to reserve it. Members or regular attenders will be required to fill out the Building Usage Request for Member Events form (Attachment A) and non-members will be required to fill out the Building Usage Request for Non-Member Events form (Attachment B).
The Building Usage forms include the associated costs and clean-up expectations. Types of approved usage are family gatherings, weddings, receptions, funerals, fundraisers, or ministry events that align with Grace Fellowship’s mission and values.
If a member is involved in planning an event for a non-profit, and wants to use the church building, they will need to use the Building Usage Request for Non-Member Events form, but they will only be charged 50% of the building rental fee. This same procedure will be followed for denominational and classis events when Grace Fellowship is not the “host.”
Anytime a non-church sponsored reservation is occurring, an Event Coordinator will be assigned to be a liaison with the group and to oversee the reservation process (for members/regular attenders, this applies anytime the reservation is on a Friday or Saturday or anytime the group size is larger than 50 people). The Event Coordinator will be responsible for unlocking the church prior to the event, making sure the group understands the expectations for building usage and clean-up, etc., and completing a walk-through after the event to ensure that the church has been left in good condition prior to locking the building.
Anytime a non-church sponsored reservation occurs that includes an Event Coordinator, arrangements will be made for someone (either the Event Coordinator or another individual already on the church’s payroll) to complete any needed custodial work after the event but before the Sunday church service. This individual will be compensated for a minimum of two hours (if custodial work takes longer than two hours, they will be compensated for the total amount of time) at one and a half times their hourly wage.
Church van usage – If a church member or regular attender of Grace Fellowship wants to use the church van for a non-church activity, they must contact the church office to reserve it. They will be required to fill out the Van Usage Request form (Attachment C) and must follow the directives as stated on the form. Non-members will not be approved to reserve the church van.
All member/regular attender requests for building or van usage will be approved by the Administrative Assistant or designee. All non-member requests for building or van usage will be approved by the Deacon of Property or designee.
